I can’t tell you the number of times I used to sit in my office at 3:00 on a Friday afternoon and wonder where the hell the week went. I mean, ten minutes ago it was Monday, right? As Realtors it is extremely easy to get distracted and lose focus. We, especially if you don’t have an assistant, have so many things pulling at our time. That goes double when you have small kids.
Then I went to a training class on time blocking and things began to change. I want to preface the meat of this post by saying that if you aren’t willing to close your email and turn off your phone, this is not going to work as well. What time blocking allowed me to do was focus on one task at a time without distraction. The result was amazing. Not only did I find that, once the major distractions were eliminated and a window of time was set aside where I only focused on one thing, it took me shorter time to accomplish things, but I was able to do so much more. So, here’s how it works:
Write down everything you need to do this week, professionally and personally.
Yes, this works outside of work too. Once you have your list, assign an amount of time to each item. For example, sphere of influence calls might take an hour each day. Transaction management might be an hour every couple of days. Marketing might be a two hour block each week.
Now comes the fun part. I recommend using a white board for this at first. Start setting out your blocks. Make sure you include some buffer time, appointment time, and time to actually open your email and turn your phone back on (set expectations about that with your clients by reading this). Once your finished, your week is set.
Follow the plan religiously for the first month or so. After that, adjust as necessary. Like I said earlier, you will be surprised how quickly you will be able to accomplish tasks, reducing the amount of time of several of your blocks. You may realize that you need to add blocks or move them around, but once you have it set it becomes habit.
